1. Information We Collect
From our business clients (the companies that sign up for RingProof):
- Business name, owner name, business address, and contact information
- Phone numbers used for call forwarding
- Payment and billing information, processed securely through our payment provider, Stripe
- Account preferences and configuration settings you provide during onboarding
From callers (customers calling one of our clients’ businesses):
- Name, phone number, and service address, when voluntarily provided during a call
- A summary or recording of the call, used to relay information to the business you called and to maintain service quality
- Appointment details, if you book a service appointment through our AI receptionist
Automatically collected information:
- Basic technical information when you visit our website (such as browser type and general location), used only for site functionality and security
2. How We Use Your Information
We use the information we collect to:
- Operate and provide the RingProof receptionist service on behalf of our business clients
- Relay caller information (such as name, callback number, and service request) to the business you contacted
- Send appointment confirmations and service-related text messages or emails
- Process payments and manage client accounts
- Improve the reliability and accuracy of our service
- Respond to support requests
3. Text Messaging (SMS) Communications
If you provide your phone number and agree to receive text messages from RingProof or one of our business clients, we will only send messages related to the service you requested — such as appointment confirmations, scheduling follow-ups, or account-related notifications.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes at any time. Your phone number and any information collected through SMS opt-in will never be sold, rented, or shared with third parties for their own marketing purposes.

4. How We Share Information
We do not sell your personal information. We share information only in the following limited circumstances:
- With the business you contacted: when you call a business that uses RingProof, the details you provide are shared with that business so they can follow up with you.
- With service providers: we use trusted third-party providers — including Twilio (telephony and messaging), Retell AI (voice processing), Stripe (payment processing), and Supabase (data storage) — solely to operate our service. These providers are contractually limited to using your data only to provide services to us.
- For legal reasons: if required by law, subpoena, or to protect the safety of any person.
We do not share caller or client information with data brokers, lead generators, or advertisers.
5. Data Security
We use industry-standard security measures, including encrypted data storage and access controls, to protect the information we collect. While no system is 100% secure, we take reasonable steps to safeguard your information against unauthorized access, disclosure, or misuse.
6. Data Retention
We retain call records and client account information for as long as necessary to provide our services and comply with legal obligations. You may request deletion of your information by contacting us using the information below, subject to legitimate business and legal record-keeping requirements.

- Business clients may request a copy of, correction to, or deletion of their account information by contacting us.
- Callers may request that we delete information collected during a call by contacting the business they spoke with, or by contacting us directly.

RingProof’s services are intended for use by businesses and their adult customers. We do not knowingly collect personal information from children under 13.
